The short answer
In one paragraph
An AI agent is the same kind of AI behind ChatGPT, given a job and the tools to do it. It works toward a goal, such as getting every inquiry answered. It uses your tools: your phone line, inbox, calendar and accounting. It decides each next step from what it finds, and it hands anything outside its rules to a person.
You have probably asked ChatGPT a question and read its answer. An agent takes the next steps as well: it answers the customer, checks the calendar, books the time and updates the record, all on its own.
The four parts of an AI agent
Every agent that does real work for a business has the same four parts.
A job
A clear goal, written down. For example: answer every new inquiry within five minutes and book the ones that fit.
Tools
Connections to the tools your business already uses. That is how it reads a text, looks at your calendar or sends an invoice.
Judgment within rules
It decides each next step from what it sees: is this urgent, is there an open time, does this need a quote first.
A hand-off
When something falls outside its rules, it passes it to a person with the full conversation, and tells the customer someone will follow up.
Watch one at work
Here is a single request handled by an AI agent at a property management company, from the first text to the end-of-day summary.
- ReadsA text from the tenant in unit 4B: “The kitchen tap won't stop dripping.”
- DecidesA routine repair. No water damage mentioned, so it can wait for regular hours.
- ChecksThe building's plumber on contract, and their next opening: Tuesday at 10 am.
- ActsBooks the plumber, texts the tenant the time and logs the request against unit 4B.
- ReportsAdds it to the 5 pm summary for the property manager.
Hi, the kitchen tap won't stop dripping
Thanks for letting us know. Our plumber can come Tuesday at 10 am. Does that work?
Tuesday works
Booked. You'll get a reminder Monday evening.
Logged against unit 4B
The judgment is the important part. If the tenant had written that water was coming through the ceiling, the agent would have marked it urgent and sent it straight to the on-call manager's phone.
What an agent can take on in a small business
Most of the routine work in a small business fits one of these:
- Answering new inquiries by phone, text, email and web form
- Following up on quotes, proposals and invoices
- Booking appointments and sending reminders
- Entering invoices, receipts and contact details where they belong
- Sending customer updates such as arrival times and order status
- Writing daily and weekly summaries from your own tools

What stays with people
An agent takes on the routine steps. People keep the parts that need them: pricing conversations, unusual requests, decisions that need judgment and the relationships with customers. A well set up agent knows the difference and hands over cleanly, so the owner's time goes where it counts.
How an agent gets set up
An agent is built around how your business already runs. It starts with a conversation about your work: what comes in, what you do with it and which tools you use. Then the agent is set up with your hours, prices, wording and rules, and tested on real examples from your business. Most go live 2 to 4 weeks after the proposal is approved.
Every action it takes is logged, so you can always see what it did and why. How a project runs has the steps.
Questions
Is an AI agent the same as ChatGPT?
It uses the same kind of AI behind ChatGPT. The agent adds the job, the connections to your tools, the rules and the hand-off to a person, so the AI can do real work for your business.
What happens if it gets something wrong?
Agents are tested on real examples before they go live, and they follow the rules you set. Anything outside those rules goes to a person. Every action is logged, so you can see what it did and fix anything quickly.
Will customers know they are talking to AI?
Messages go out under your business name, in wording you approve. You decide how they are signed.
Do we need to change our tools?
You keep the tools you use. The agent connects to them.
